Privacy Policy

Japan Property OS (“JPOS,” “we,” “us”) is operated by Charles Momeny, an individual (there is currently no LLC, corporation, or Japanese entity). This Privacy Policy explains what information we collect through japanpropertyos.com and the JPOS application, why we collect it, and how you can contact us about it.
Information we collect
We collect the following categories of information, all tied to your own account and workspace:
- Account information: your name, email address, and password (stored in hashed form), used to create and secure your account.
- Authentication and session information: session tokens, sign-in timestamps, and the IP address and browser/device (user agent) associated with each session, used to keep you signed in and protect your account from abuse.
- Profile and preferences: your display language, home currency, and (if you use Profile mode) your answers to our Suitability questionnaire.
- Property and listing information: the properties you track — name, location, size, construction details, pipeline stage, listing URLs and prices, and similar details you enter or import.
- Property addresses: the address, prefecture, and city of properties you add. We do not collect your own home or billing address directly — that is collected by Stripe as part of payment processing (see “Payments” below).
- Financial figures you supply for analysis: purchase price, costs, expected rent, and similar figures you enter into our financial-analysis tools.
- Notes and questions: freeform notes and questions/answers you record about a property or a contact.
- Uploaded documents: files you upload (contracts, inspection reports, photos, and similar), stored with Vercel Blob (see “Service providers” below).
- Contacts and third-party information you enter: name, email, phone, and company information you record about agents, lawyers, translators, contractors, and others you’re working with. You are responsible for having an appropriate basis to share this information with us — see our Terms of Service.
- Suitability and AI-derived information: the score, rationale, and flags our AI features generate from your property and profile data — see “How we use AI” below.
- Payment and subscription information: we store your Stripe customer ID, subscription ID, status, and renewal date. We do not store your full card number — see “Payments” below.
- Technical and error information: we use Sentry to capture application errors so we can fix bugs. Sentry is configured with Enhanced Privacy and server-side data scrubbing enabled, and does not store IP addresses for new events. Session recording, log collection, application metrics, and AI-assisted debugging features are all switched off — only standard error and performance information is collected.
- Cookies and local storage: we use one functional session cookie (set by our authentication provider) to keep you signed in, and browser local storage for a handful of interface preferences (like your preferred view or unit of measurement). We do not use advertising, tracking, or analytics cookies.
How we use this information
- To provide, operate, and maintain the application.
- To authenticate you and manage your account and workspace.
- To let you organize, track, and analyze properties you’re considering.
- To power AI-assisted features such as listing-data extraction and the Suitability Score.
- To administer your subscription and process payments.
- To send account-related communications, such as password resets and follow-up reminders you’ve set.
- To monitor for errors, secure the application, and prevent abuse.
- To comply with legal, tax, and accounting obligations.
- To respond to support requests.
Payments
Subscription payments are handled by Stripe, our payment processor. When you subscribe, Stripe collects your name, email, billing address, payment-method details, and related transaction, invoice, and payment- verification information directly. Japan Property OS never receives or stores your full card number — we only store an identifier for your Stripe customer and subscription, and your subscription status. With your consent (by subscribing), Stripe may securely store your payment method to process future recurring charges automatically.
Service providers we use
We rely on the following service providers to operate JPOS. Each processes only the information necessary to perform its function for us, and none of them are permitted to use your information for their own independent purposes:
- Vercel — hosts the application and its infrastructure.
- Vercel Blob — stores the files you upload.
- Neon — hosts our Postgres database.
- Stripe — processes subscription payments (see “Payments” above).
- Sentry — captures application errors, configured as described above.
- Resend — delivers account-related emails, such as password resets and follow-up reminders.
- Google Gemini — provides the AI features described below.
Each provider’s own retention periods, data-processing terms, and subprocessors are governed by their respective privacy policies and data-processing agreements, which we encourage you to review if you’d like more detail than this policy provides.
How we use AI
Some features use Google’s Gemini API to process information you provide. This includes: extracting structured details from a property-listing page you point us to, generating your Suitability Score from your property and profile information, and a couple of smaller convenience features (such as suggesting a romanized name). Where relevant, this may include property details, financial figures you’ve entered, and the content of a listing page you’ve asked us to import — never information belonging to another workspace. AI output is provided to assist your own review and decision-making. It is not guaranteed to be accurate, and it is not professional advice — see “No professional advice” in our Terms of Service.
We do not sell your information
We do not sell your personal information, and we do not currently use it for targeted or cross-context advertising. We have no advertising or ad-tracking technology in the application.
Data retention and deletion
- Deleting a property permanently removes that property and everything tied to it — financial analysis, due-diligence items, timeline, questions, notes, and uploaded documents — from our database and file storage. This cannot be undone.
- Deleting your account can be requested at any time by emailing privacy@japanpropertyos.com. Once we verify the request, we permanently remove the account and workspace data we control, cancel any active subscription (without automatically issuing a refund), and permanently delete your uploaded files.
- We retain information we or our service providers are required to keep for legal, tax, accounting, fraud-prevention, or security purposes — for example, Stripe’s own payment and invoice records are not erased as part of an account deletion, since Stripe retains them under its own obligations.
- Deletion from our own systems is not necessarily instantaneous everywhere — for example, routine backups and our service providers’ own systems age out on their own schedules, which we don’t control.
Children
Japan Property OS is intended for users age 18 and older. We do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy from time to time. If we make a material change, we’ll update the effective date above. Continuing to use JPOS after a change takes effect means you accept the updated policy.
